Electronic Visit Verification
Most EVV tools are standalone systems that create data silos, frustrate your staff, and still leave you manually reconciling visits with timesheets. Ljón's EVV is built into the same platform your agency already uses for scheduling, timesheets, and billing — so verification happens automatically, not as extra work.

What Is EVV?
Electronic Visit Verification is a technology required by the 21st Century Cures Act for all Medicaid-funded personal care and home health services. EVV systems must electronically verify six data points for every visit: the type of service performed, the individual receiving the service, the individual providing the service, the date of the service, the time the service begins and ends, and the location of service delivery.
The federal mandate required all states to implement EVV for personal care services by January 1, 2020, and for home health services by January 1, 2023. States that fail to comply face incremental reductions in their Federal Medical Assistance Percentage (FMAP). This means every agency that bills Medicaid for in-home or community-based services needs a compliant EVV system — it's not optional.
But here's the problem most agencies run into: they adopt a standalone EVV tool that handles the verification piece but doesn't connect to anything else. The schedule lives in one system. The EVV data lives in another. Timesheets are in a third. Billing is in a fourth. And someone on your admin team is spending hours every week manually reconciling all of it.
The Standalone EVV Problem
If your EVV system doesn't talk to your scheduling and billing systems, you're not really solving the problem — you're just adding another tool to manage. Here's what agencies deal with when they use standalone EVV:
Standalone EVV tools solve the compliance checkbox but create operational headaches that cost agencies thousands in admin hours and delayed billing every month.
The Integrated Approach
Ljón Operations takes a fundamentally different approach to EVV. Instead of being a standalone verification tool, EVV is woven into the same platform your agency uses for scheduling, timesheets, compliance, and billing. The result: verification happens as a natural part of the workflow, not as extra work.
Staff clock in from their phone and GPS coordinates are captured automatically. No special hardware. No separate app. The same mobile portal they use to view their schedule is where they verify their visit. Location data is stored with every clock-in and clock-out event.
See who's on-site, who's late, and who hasn't clocked in yet — in real time. No more waiting until the end of the day or the end of the week to find out a visit was missed. Supervisors get instant visibility into service delivery as it happens.
Every EVV record is automatically linked to the scheduled shift. When a caregiver clocks in, the system matches it to their assigned visit. Variance detection flags early arrivals, late starts, short visits, and overtime — automatically, without manual review.
Verified visits flow directly into timesheets and billing. No manual reconciliation. No exporting from one system and importing into another. When a visit is verified and the timesheet is approved, it's ready for claims submission.
Captures all six EVV data points required by the 21st Century Cures Act: service type, recipient, provider, date, start/end time, and location. Audit-ready records available for state aggregator submissions and compliance reviews.
Monitor verification rates, missed clock-ins, location discrepancies, and visit completion across your entire agency. Drill down by staff member, client, or program. Spot patterns before they become compliance problems.
How Ljón EVV Works
Step 1: Schedule the visit. Create a shift in Ljón Operations and assign a caregiver to a client. The shift includes the service type, scheduled start and end time, and client location. The caregiver sees it on their mobile schedule immediately.
Step 2: Staff clocks in on arrival. When the caregiver arrives at the client's location, they open the Ljón staff portal on their phone and tap "Clock In." GPS coordinates are captured automatically. The system records the provider, the recipient, the service type, the date, the start time, and the location — all six EVV data points in one tap.
Step 3: Staff clocks out when finished. At the end of the visit, the caregiver taps "Clock Out." End time and GPS location are recorded. If the visit was shorter or longer than scheduled, the system flags the variance. The caregiver can add service notes and documentation before leaving.
Step 4: Verified visit flows to timesheets and billing. The completed, GPS-verified visit automatically populates the caregiver's timesheet. Supervisors review and approve. Approved timesheets are ready for billing export. No manual data entry. No reconciliation. No separate EVV report to generate and cross-reference.
This is what integrated EVV looks like. The verification isn't a separate step — it's built into the same workflow your staff already follows. That means higher compliance rates, less admin work, and faster billing cycles.
Medicaid EVV Requirements
Every state has implemented EVV requirements differently. Some states operate their own EVV aggregator systems. Others contract with third-party vendors. Some require specific data formats for submission. But the core requirement is the same everywhere: agencies must electronically verify that Medicaid-funded services were delivered as billed.
The consequences of non-compliance are real. States can withhold Medicaid payments, require corrective action plans, or exclude agencies from Medicaid programs entirely. At the federal level, states that don't enforce EVV face reductions in their FMAP — which means the pressure flows downhill to agencies.
Ljón Operations captures all required EVV data points for every visit. The data is stored in a structured, auditable format that can be exported for state aggregator submissions. When your state Medicaid office or managed care organization requests EVV data, you pull it from the same system where you manage everything else — no separate EVV vendor portal to log into, no separate reports to generate.
For agencies that serve clients across multiple payers — Medicaid, private insurance, private pay — Ljón's EVV works the same way for every visit. You don't need to train staff on different verification procedures for different payers. Every visit gets GPS-verified. Every visit is documented. The only difference is which visits you submit for EVV compliance reporting.
Real-Time Visibility
One of the biggest operational challenges for agencies that deliver in-home and community-based services is visibility. Your staff are spread across the community. You can't walk down the hall to check if someone showed up for their shift. With standalone EVV tools, you often don't find out about problems until hours or days later when you're reviewing reports.
Ljón's integrated EVV gives you real-time visibility into service delivery. The operations dashboard shows you which staff are currently clocked in, which visits are in progress, which scheduled visits haven't started yet, and which visits have ended. You see it as it happens — not in a report you pull at the end of the week.
When a caregiver doesn't clock in within the expected window, the system flags it. Supervisors can follow up immediately instead of discovering the missed visit during timesheet review. When a visit runs significantly shorter than scheduled, it's flagged for review. When GPS data shows a clock-in location that doesn't match the client's address, that's flagged too.
This real-time approach transforms EVV from a compliance burden into an operational tool. You're not just verifying visits for Medicaid — you're using verification data to actually manage your agency better. You see coverage gaps as they develop. You identify staff who consistently run late. You catch missed visits before they become billing problems.
Security & Compliance
EVV data includes protected health information — client names, service types, locations, and dates of service. Ljón Operations protects this data with the same healthcare-grade security that covers every other part of the platform.
Why Agencies Switch to Ljón for EVV
Agencies that switch to Ljón Operations for EVV typically report three immediate improvements: their staff stop complaining about having to use multiple apps, their admin team stops spending hours reconciling EVV data with timesheets, and their billing cycles get shorter because verified visits flow directly into the billing pipeline.
The math is straightforward. If your admin team spends 5 hours per week reconciling EVV data with timesheets and schedules, that's 260 hours per year. If your standalone EVV tool costs $200-500 per month on top of your scheduling and billing tools, that's $2,400-6,000 per year for a tool that creates extra work. Ljón replaces all of it — scheduling, EVV, timesheets, compliance, and billing — in one platform starting at $199 per month.
